Privacy Policy
We are committed to maintaining the accuracy, confidentiality, and security of your personally identifiable information ("Personal Information"). As part of this commitment, our privacy policy governs our actions as they relate to the collection, use and disclosure of Personal Information. Our privacy policy is based upon the values set by the Canadian Standards Association's Model Code for the Protection of Personal Information and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). EasyPlex.ca operates an online shop selling cast acrylic, tapes, laser supplies, and related products through Squarespace, a U.S.-based platform. We use Stripe for secure payment processing. This policy explains how we handle your Personal Information in compliance with PIPEDA.
1. Introduction
Ez-Plex.ca is responsible for maintaining and protecting the Personal Information under our control. We have designated the owner as the individual responsible for compliance with our privacy policy. If you have questions about this policy or our practices, contact easyplex.info@gmail.com.
2. Identifying Purposes
We collect, use and disclose Personal Information to provide you with the products or services you have requested (e.g., processing orders for cast acrylic, tapes, or laser supplies) and to offer you additional products and services we believe you might be interested in, such as updates on new arrivals or promotions. The purposes for which we collect Personal Information will be identified before or at the time we collect the information. Examples of Personal Information we collect include: your name, email address, shipping and billing address, phone number, payment details (e.g., credit card information), IP address, browser type, and shopping cart contents. For account creation, we collect your email and password to enable an ongoing shopping cart experience, allowing you to save items, track orders, and make future purchases more conveniently without re-entering details each time. This account functionality is optional but recommended for repeat customers. In certain circumstances, the purposes for which information is collected may be clear, and consent may be implied, such as where your name, address and payment information is provided as part of the order process on our Squarespace-hosted site.
We use Squarespace to host and manage our website, which may collect additional technical data (e.g., device information) for site functionality and analytics. We use Stripe to process payments securely, which handles your card details without us storing them directly. For more on how Squarespace and Stripe handle your data, please review their privacy policies: Squarespace Privacy Policy and Stripe Privacy Policy.
3. Consent
Knowledge and consent are required for the collection, use or disclosure of Personal Information except where required or permitted by law. Providing us with your Personal Information is always your choice. However, your decision not to provide certain information may limit our ability to provide you with our products or services, such as completing an order or maintaining your shopping cart. We will not require you to consent to the collection, use, or disclosure of information as a condition to the supply of a product or service, except as required to be able to supply the product or service (e.g., payment details for checkout). For non-essential uses like marketing emails, we obtain explicit consent (e.g., via opt-in checkboxes). You can withdraw consent at any time by contacting easyplex.info@gmail.com or using unsubscribe links in emails. Account creation for ongoing shopping carts implies consent for basic profile management, but you can delete your account anytime.
4. Limiting Collection
The Personal Information collected will be limited to those details necessary for the purposes identified by us. With your consent, we may collect Personal Information from you in person (e.g., at events), over the telephone, or by corresponding with you via mail, facsimile, or the Internet (primarily through our Squarespace site and Stripe checkout). We do not knowingly collect Personal Information from children under 13; our site and products (e.g., laser supplies) are not intended for children. If we learn we have collected such data, we will delete it promptly.
5. Limiting Use, Disclosure and Retention
Personal Information may only be used or disclosed for the purpose for which it was collected unless you have otherwise consented, or when it is required or permitted by law. For example, we use your information to fulfill orders, manage your shopping cart via account data, and prevent fraud. We share Personal Information only as necessary:
With Squarespace (U.S.-based) for website hosting, order processing, and analytics; data may be transferred to the U.S. under Squarespace's Data Privacy Framework certification, ensuring equivalent protections to PIPEDA.
With Stripe (U.S.-based) for payment processing; Stripe handles card details securely (PCI-DSS compliant) and does not share them with us beyond transaction confirmation. Transfers to the U.S. are protected under Stripe's privacy commitments.
With shipping providers (e.g., Canada Post or UPS) for delivery of products like cast acrylic sheets; only name, address, and order details are shared.
With service providers for email marketing (if consented) or fraud detection, bound by confidentiality agreements.
We do not sell your Personal Information. Personal Information will only be retained for the period of time required to fulfill the purpose for which we collected it or as may be required by law (e.g., order records for 7 years for tax and audit purposes under Canadian law). Account data for shopping carts is retained until you delete your account or request removal. After that, we securely delete or anonymize data.
6. Accuracy
Personal Information will be maintained in as accurate, complete and up-to-date form as is necessary to fulfill the purposes for which it is to be used, such as ensuring correct shipping of laser supplies. You can update your details via your account dashboard or by contacting us.
7. Safeguarding Customer Information
Personal Information will be protected by security safeguards that are appropriate to the sensitivity level of the information. We take all reasonable precautions to protect your Personal Information from any loss or unauthorized use, access or disclosure. Our Squarespace site uses SSL/TLS encryption for data in transit, and Stripe provides PCI-DSS compliant security for payments (we do not store full card details). Access to data is limited to authorized personnel, with physical, technical, and organizational measures (e.g., firewalls, secure servers). In case of a breach posing real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.
8. Openness
We will make information available to you about our policies and practices with respect to the management of your Personal Information. This policy is posted on our website and linked in the footer and checkout page. We may update it periodically; material changes will be notified via email (if you have an account) or site notice, effective upon posting.
9. Customer Access
Upon request, you will be informed of the existence, use and disclosure of your Personal Information, and will be given access to it. You may verify the accuracy and completeness of your Personal Information, and may request that it be amended, if appropriate. Submit requests to easyplex.info@gmail.com; we respond within 30 days. However, in certain circumstances permitted by law, we will not disclose certain information to you. For example, we may not disclose information relating to you if other individuals are referenced or if there are legal, security or commercial proprietary restrictions.
10. Handling Customer Complaints and Suggestions
You may direct any questions or enquiries with respect to our privacy policy or our practices by contacting:
easyplex.info@gmail.com
We investigate complaints promptly and may involve the Office of the Privacy Commissioner of Canada if needed. We aim to resolve issues fairly and in line with PIPEDA.
